Kilbourne.JP, LLC d/b/a JPK Collision Solutions ("we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use JPK TimeClock. Your use of the JPK TimeClock constitutes your agreement to be bound by this privacy policy.
Account Information: Business name and contact information, administrator name and email, billing information (processed by third-party payment processor).
Employee Information: Employee names, employee roles/positions, 4-digit PIN codes (stored securely with cryptographic hashing), work schedules.
Time and Attendance Data: Clock-in and clock-out timestamps, punch method (QR code, PIN pad), location where punch occurred.
Device Information: Device identifiers, browser type and version, operating system, screen resolution, IP address.
Geolocation Data: GPS coordinates at time of punch (if enabled), used solely for geofence verification, NOT tracked continuously.
We do NOT collect: Social Security numbers, financial information of employees, personal addresses of employees, biometric data (fingerprints, facial recognition), background location tracking, or any other information considered personal in nature.
We use collected information to: Provide and maintain the Service, process time and attendance records, generate reports, verify employee location (geofencing), send service-related communications, improve our Service, and comply with legal obligations. We may retain anonymized/aggregated data for analytics or metrics.
Storage: Data is stored on Google Firebase (Google Cloud Platform), servers located in the United States, encrypted in transit (HTTPS/TLS) and at rest.
Security Measures: Secure authentication required for access, role-based access controls, audit trails for all modifications, regular security assessments.
Data Retention: Active account data retained while subscription is active. Upon cancellation, data retained for 60 days post cancellation for export. After 60 days, data is permanently deleted.
We DO NOT: Sell your data to third parties, share employee data, use your data for advertising, or share data with data brokers.
We MAY Share Data With: Service providers (Google Firebase for hosting, payment processors for billing), and when required by law or legal process.
Employer Access: Employers (administrators) have access to their employees' time records. This is necessary for the Service to function. Employers are responsible for their own privacy practices with employees and their data, and specifically are responsible for any individual who may have access to the information collected by JPK TimeClock.
For Business Customers: You have the right to access your data, export your data, correct inaccurate data, delete your data, and cancel your subscription.
For Employees: Employees should contact their employer regarding access to their time records, correction of inaccurate records, and workplace time tracking.
The JPK TimeClock is designed for tracking time and attendance of employees in a business context. While some jurisdictions permit employment of individuals ages 14-15 under restricted conditions, the JPK TimeClock is intended for use by employees age 16 and older. Employers who employ individuals under 16 are responsible for ensuring compliance with all applicable child labor laws.
We may update this Privacy Policy from time to time and we will notify you of material changes by email notification to account administrators, notice on our website, and notice within the application.
If you are a California resident, you have additional rights: Right to know what data is collected, right to delete your data, right to change erroneous data, right to opt-out of data sales (we do not sell data), and right to non-discrimination.
The Service is operated in the United States. If you access the Service from outside the US, any data collected by JPK TimeClock will be transferred to the US and handled pursuant to the policies set forth herein as though it was collected in the US.
Businesses using JPK TimeClock are responsible for: Informing employees about the policies herein, including the collection of time and location data, complying with applicable labor and privacy laws in their jurisdiction, obtaining any required employee consents, and responding to employee inquiries about their data.
Prior to enabling geofencing features, Employers must provide written notice to employees explaining that location data will be collected at clock-in/clock-out times. Employers must obtain documented consent from employees before enabling location tracking. Employers are solely responsible for compliance with all federal, state, and local laws regarding employee location tracking and workplace monitoring. Kilbourne.JP, LLC d/b/a JPK Collision Solutions provides template consent forms but makes no representation regarding their legal sufficiency in any particular jurisdiction.
Location data is NOT collected continuously. The Service does not track employee location between punches, during breaks, or outside of work hours. Location data is only captured at the specific moment an employee initiates a clock-in or clock-out action.
If you are an employee whose employer uses JPK TimeClock, your employer is the controller of your employment data. Please direct requests regarding your time and attendance records to your employer.
If you use JPK TimeClock in a locality or in a jurisdiction whose laws are not addressed by these privacy policies, you are required to contact us as indicated below before using the JPK TimeClock.
